Project assistant, Chisinau (Moldova)

Part-Time (16-20 hours/week)

 

Where and when: 1 year, full time, starting from May 2022 - ALDA office in Chisinau (Moldova)

ALDA – European Association for Local Democracy, is dedicated to the promotion of good governance and citizen participation at the local level. ALDA focuses on activities facilitating cooperation between local authorities and civil society.

It was established in 1999 at the initiative of the Council of Europe to coordinate and support the network of Local Democracy Agencies, which are self-sustainable, locally registered NGOs acting as promoters of good governance and local self-government. Today, ALDA is a key stakeholder in the field of local democracy, active citizenship, and cooperation between local authorities and civil society.

Main tasks and responsibilities:

The Project Assistant will directly report to the Head of Unit. S/he also will be responsible for daily projects work, administrative and logistical tasks for ALDA’s regional office. S/he will support the Head of Unit and other regional staff regarding all the logistic activities related to the ALDA office located in Chisinau and on- going regional projects.

Duties and responsibilities will include:

  • Technical and logistical organization of public events (coordination of hall, catering services, organizing transport, accommodation, contracts, invoices, etc.);
  • Monitoring, if all financial documents, invoices and cash settlements are in accordance with ALDA procedures and policies, as well as local laws / regulations;
  • Ensures, under the supervision of the director of human resources, the preparation of documents related to HUMAN RESOURCES, especially of contracts and their modifications;
  • Responsible for the proper functioning of the office (utilities payments, permanent presence of water stocks, tea, coffee, cleaning supervision, etc.) planning and launching procurement procedures in accordance with the organization's procedures. Resolving unforeseen situations that may arise during the tender process;
  • Identify suppliers, providers, sellers and contractors of appropriate and reliable goods and services in support of programme implementation;
  • Communication and negotiation with suppliers (preparation for signing contracts, checking the duration and extension of the contractssolving problems / requests, timely collection of documentation);
  • Supporting day-to-day office activities, ensuring that all working conditions are met and that regional staff enjoy a productive and comfortable work environment;
  • Providing logistical solutions when necessary, including in the event of an emergency caused by the war in Ukraine.

  • Skills needed:

    • Highly motivated, result-driven person with pro-active approach oriented on preventing potential challenges rather then reacting after it happened
    • Flexibility, eagerness to learn quickly
    • Respect for hierarchy, positive and collaborative attitude
    • Ability to work under pressure, respecting tight deadlines
    • Communication and negotiation skills, especially in multicultural, complex environments
    • Ability to work in team and autonomously, with a pleasant and respectful behaviour
    • Accuracy and attention to detail
    • Education, languages and tools

      • University Degree would be an asset, however under-graduate students with previous internship, working or volunteering experience relevant for this role – will be considered. Previous experience in NGOs or international organizations and/or managing similar tasks is highly advantageous. 
      • Communication skills, especially in multicultural, complex environments;
      • Excellent knowledge of Romanian, basic communication skills in English and Russian (sufficient to have a discussion or understanding a text). Any other languages represent an asset;
      • Interest in NGO sector and have a genuine interest and desire to contribute to positive social change;
      • Proficient use of Office Suite, internet, email, social networks;

      How does it look like to work in ALDA?

      The incumbent will be part of a hard-working, motivated, fast-paced international team. In constant interaction with colleagues, as well as a wide network of members and partners around 40 countries, s/he will pursue the mission of the Association until results are met.

    • Terms of contract

      The contract will be for a period of 12 months and can be renewed subject to availability of resources and satisfactory performance evaluation at the completion of the first contracted period. The contract will preferably starts in May 2022. Location: Chisinau.

      Salary proposal will be based on the experience and qualifications of the candidate within the salary grid of ALDA.
