MISSION
Goal / Purpose:
At his/her assigned base level, the Administrative Assistant (Finance) supports the Administrative Manager in the processing of accounting operations in accordance with Solidarités International procedures.
He/she is in charge of the payment system at his/her disposal and of their security.
POSITION
List of main tasks:
Treasury
- Ensure the physical maintenance and safety of cash boxes
- List liquidity needs in concert with the Administrative Manager
- Exchange currencies at request of superiors
- Carry out pay-outs and advances, within established guidelines
- Keep the advance and cash box book updated
- Verify cash balances daily and report any discrepancies to his/her manager
- Guarantee security of the cash and confidentiality of information
- Monitor due dates for payments of contracts managed by the administrative coordinator
Accounting
- Verify, before recording, that records conform to regulations and procedures of Solidarités International
- Record budgetary transfers and keep accounting codes
- Translate accounting documents if necessary
- Prepare monthly closing, revision and integrity of accounts for the base
- After validation by the Administrative Manager, ensure the upload into the software the monthly closing procedures and the preparation of all the documentation (bank reconciliation…)
- Archive physically and digitally accounting records according to Solidarités procedures after a final verification of receipts etc.
- Participate in audits or any checks issued by partners or head office, at the base level
Administration
- Review compliance of payment document with the tax local framework
- Support the Administrative Manager in his/her relationship with the legal firm and support in the preparation of taxes calculation, report, and payment
- Participate in supervision of regulations in effect
Reporting / communication:
- Support the Administrative Manager in relations with local administrative authorities
- Take part in meetings relating to administrative aspects, represent Solidarités International on request
- Ensure that administrative reports are made according to the Solidarités International standards
- Provide all relevant information needed to draft intermediary and final reports
PROFILE OF THE CANDIDATE / REQUIREMENTS
- Previous experience with NGO/INGOs valued
- Previous experience or formation in finance and accountability required
- Availability to work full time (estimated 8am to 6pm) for a minimum of 2 months required
- Language: Romanian and English. Russian and Ukrainian are a plus.
