MISSION
Goal / Purpose:
At his/her assigned base level, the Administrative Assistant- HR supports the Administrative Manager in the processing tasks relating to Human Resources.
POSITION
List of main tasks:
Administrative management of personnel:
- Welcome and participate in administrative briefing of new personnel
- Keep an organization chart up to date for the base
- Assist the Administrative Manager for the administrative management of recruitment and hiring (preparation of vacancies and posting, shortlisting, participation to interview, reference check, archiving)
- Draft contractual document for validation of the Administrative Manager and monitor contracts ‘date on the base
- Ensure archiving and monitoring of individual dossiers and deliver all documents relative to the professional life of Solidarités International employees
- Ensure the confidentiality of all HR datas
- Participate in the organization of training
- Collect payroll variable and integrate them into the Human resources management software / or provide them to an external payroll firm
- Issue pay slips and supervise payment of salaries after approval by the Administrative Manager / or link with the external payroll firm to ensure all salary payment were proceed according with Solidarites International request
- Calculate taxes and duties and create pay records for the relevant organizations / or links with the external payroll firm to provide them with the necessary information for the preparation of taxes calculation on salaries
- Assist the Administrative Manager in the organization of a social dialogue
- Participate in the application of Human Resources policies of Solidarités International
- Monitor changes in the cost of living
Reporting / communication:
- Support the Administrative Manager in relations with local administrative authorities
- Take part in meetings relating to administrative aspects, represent Solidarités International on request
- Ensure that administrative reports are made according to the Solidarités International standards
- Provide all relevant information needed to draft intermediary and final reports
PROFILE OF THE CANDIDATE / REQUIREMENTS
- Previous experience with NGO/INGOs valued
- Previous experience or formation in HR required
- Availability to work full time (estimated 8am to 6pm) for a minimum of 2 months required
- Language: Romanian and English. Russian and Ukrainian are a plus.
