Project HOPE Moldova is looking for a HR & Administrative Assistant (full time, Chisinau)

addressing urgent health needs through 500+ programs, is a global health and humanitarian non-profit organization dedicated to providing long-lasting solutions to global health problems, placing power in the hands of local health workers, and improving the quality of life for the world’s most vulnerable people. Project HOPE aims to improve access to quality care for vulnerable groups in the Republic of Moldova by strengthening the health system for vulnerable people including foreign people and strengthening the network of health services in under-resourced and underserved communities.  

The HR & Administrative Assistant will provide assistance in carrying out administrative work and preparing and updating documents for delivering HR services, in line with the Project Hope’s policies and the applicable 
laws and regulations.

 

Main Responsibilities:

HR functions:

  • Maintain and update employee HR records, both physical and digital. 
  • Manage HR databases and ensure data integrity. 
  • Assist in the recruitment process by scheduling interviews, coordinating with candidates, and maintaining applicant tracking systems
  • Prepare HR-related documents such as employment contracts, offer letters, and HR policies. 
  • Support in administering employee benefits programs, including health insurance. 
  • Assist employees with benefits-related inquiries and enrollment processes.
  • Ensure compliance with labor laws and organizational policies. 
  • Serve as a point of contact for employees regarding HR-related matters. 
  • Assist in resolving employee HR queries and concerns in a timely and professional manner. 
  • Help promote a positive organizational culture and employee  engagement initiatives. 
  • Assist in organizing training sessions and workshops for  employees.
  • Maintain training records and track employee participation. 

Admin functions:

  • Schedule and coordinate meetings, appointments, and travel arrangements for staff. 
  • Provide administrative assistance to ensure effective office  operations. 
  • Assist in the preparation of documents, reports, and  presentations. 
  • Handle incoming and outgoing correspondence, including emails, mail, etc. 
  • Assist in any other activity related to the administrative area.  
  • Ensuring office equipment like printers, copiers, and computers 
    are in working order. 
  • Organizing and maintaining both physical and electronic files. 

 

Language Skills: English+Romanian
