Purpose/objective of the job:

The volunteer coordinator organizes and supports the activities of those who, with dedication and enthusiasm, work as volunteers for the Caritas Moldova Charitable Foundation. The coordinator's role is to motivate and inspire those in the community (young or old) to support the organization's cause, thus providing better services to children and vulnerable adults.

Responsibilities, duties, and competencies of the post:

- assesses the need for volunteers for the programs and projects developed by the organization, proposing, in this regard, the Foundation's strategy in the field of volunteering;

- coordinates the volunteer activities within the Foundation;

- trains and assists the staff of the Foundation's branches, the coordinators of programs and projects in the development of volunteer activities;

- in collaboration with the program coordinators, establish the tasks for each volunteer;

- check the references or recommendations of the volunteers;

- participates in the recruitment, interviewing, and selection of volunteers;

- plans and organizes orientation and training programs for new volunteers;

- ensures the monitoring and evaluation of volunteers based on the information provided by the coordinators of programs or projects;

- maintains contact with volunteers through regular meetings;

- maintains a database of the organization's volunteers, drawing up various documents for their evidence, monitoring, and evaluation;

- provides assistance to volunteers, at their request, in order to facilitate the fulfillment of their tasks (accommodation in the project team, relationship with program coordinators, etc.);

- proposes measures to reward and motivate volunteers;

- comply with the regulations, methodologies, and working procedures of the Foundation;

- performs other tasks received from the Executive Director.

Specific responsibilities:

 Elaborates informative materials for ongoing projects and ensures their publication in mass information sources (information panel, press, website, etc.);

 Develops and coordinates the development of project promotional materials, as well as other materials products of different projects, such as training support, newsletters, brochures, and educational materials, in print or electronic format;

 Prepares official letters from the Foundation, including to public authorities and international partners;

 Manages the database of volunteers involved in the Foundation's activities;

 Responsible for creating a database with documents created personally in electronic format (on the computer), periodically archiving them on mobile data (CD);

 Initiating and conducting recruitment and selection campaigns for volunteers, depending on the needs of the organization;

 Maintaining the record of volunteers and volunteer activities carried out within the Foundation;

 Supervision and evaluation of volunteers and volunteer programs developed within the Foundation

 Scheduling the activities in which the volunteers are involved in collaboration with the Project Coordinators of the Foundation;

 Preparation and presentation of activity reports and, upon request, making available to the Director statistical data on the involvement and effectiveness of volunteers in the organization;

 Supporting volunteers, ensuring good communication and information, recognizing the value and activity of volunteers;

 Supporting employees in working with volunteers and identifying existing needs in each department;

 Organizing special events to motivate and recognize volunteers;

 Establishing contacts and collaborating with volunteer organizations;

 Information on the legislation in force regarding volunteering and the distribution of information to the parties involved (employees and volunteers).

Responsibilities of the Volunteer Coordinator on Safeguarding Policy within the Caritas Moldova Charitable Foundation:

- Assumes responsibility for fully understanding the protection policy and its implications.

- Act in accordance with the Code of Ethics and Conduct, comply with the Safeguarding Policy at all times (in professional and personal life), and seek clarification if anything is unclear

- Performs duties in a manner that does not harm children, vulnerable adults, or other employees/volunteers and does not expose them to additional risks of abuse or exploitation.

- Promotes a respectful and trustworthy office and field environment with beneficiaries and community members.

- Report any Safeguarding issues according to Caritas Moldova procedures.

- Ensure that program-specific protection questions are included in recruitment interviews and written tests.

- Ensures that all new employees receive training in Safeguarding policy as part of their training.

- Ensure protection policy is considered in project evaluations, including other evaluations and project activities.

- Ensures that the Safeguarding Policy, Code of Ethics, and Conduct are communicated and understood by beneficiaries and relevant community members (through continuous, age-appropriate, contextualized, verbal, and/or written information shared in the local language).

- Ensure that beneficiaries understand the expected behavior of staff and know how to report any concerns safely.

- Ensures that feedback from beneficiaries is properly managed and treated.

- Treat anyone who reports a Safeguarding concern or issue with respect and dignity and express concern for their general safety and well-being.
