CLASSIFICATION: Full-time contracted position, 40 hours per week.
The General Services Assistant (GSA), under the supervision of General Services Manager (GSM), provides comprehensive facilities, equipment, logistics, and administrative support to ensure the effective operation, safety, and maintenance of Peace Corps offices, residences, and storage facilities. The position supports office operations, residential maintenance, utilities management, procurement assistance, property administration, safety and security functions, and logistical coordination in compliance with Peace Corps policies and host-country regulations.
Major Duties and Responsibilities:
Facilities Maintenance and Repair
· Perform and coordinate preventive and corrective maintenance of Peace Corps office and residential buildings.
· Conduct repairs of plumbing, heating, water, drainage systems, fixtures, doors, windows, locks, furniture, and technical equipment.
· Oversee maintenance of power networks and backup generators.
· Coordinate with local vendors and contractors to ensure timely and quality completion of maintenance and repair work.
· Conduct technical inspections of buildings prior to lease agreements.
Office Equipment and Furniture
· Maintain, repair, and replace office equipment and furniture as needed.
· Ensure preventive maintenance of all office equipment.
· Assist with office relocations, furniture installation, and movement of equipment.
Utilities Payment
- Collects data, reading of meters, fills the bills, takes advances and does the physical payments of all the bills from PC office and residences.
- Maintains records related to utility payments as electricity, gas, water, solid waste and other bills for the PC office and residences in a timely manner. Makes a monthly financial report on utility payments.
· Is responsible for payment of service companies related to PC office and residences facility maintenance.
Procurement and Financial Support
- Ensures that items are purchased within time frame requested. Works with requisitioners to ensure that the appropriate items are purchased.
· Processes required documentation including taking advances and clearing the advances, makes payments for the labour and services performed by casual labourers.
Property and Storage Administration
· Assists in performing of annual physical inventory of all Government owned property in Peace Corps residences, offices and storages.
· Recommends disposal of property, as appropriate.
· Administers the office storage (furniture, equipment, office supplies and PCV equipment and supplies storage) Maintain records of goods and ensure restocking is performed on a regular and timely basis.
- Ensures that the Equipment storage rooms are well maintained and that stocks are kept in an organized, efficient and weather protected manner.
· Storing, distributing and organizing the transportation of furniture, appliances and equipment
Supervision and Coordination
· Provides limited supervisory oversight of janitors, cleaning staff, and contracted maintenance workers, as assigned.
· Coordinates office cleaning services and monitor performance.
Driving and Logistics Support
· Serves as an occasional or backup driver when required.
· Operates government-owned or leased vehicles safely and strictly for official purposes.
Custom Clearance
· Assists GSM and in his/her absence, does all paperwork in customs clearance of goods and supplies.
Job particularities:
General Services Assistant Full-time position requiring flexibility, including possible evenings, weekends, and holidays. May be designated as an occasional money handler/holder (OMH). May be assigned limited supervisory responsibilities in accordance with Peace Corps regulations. Must comply with Peace Corps safety, security, health, and driving policies, and workplace safety requirements. Requires ability to perform moderately heavy physical work. Position supports Peace Corps Volunteers, Trainees, staff, and facilities in a dynamic operational environment. Assist with customs clearance documentation when required. Performs other related duties as assigned by the General Services Manager, Director of Management and Operations, or Country Director.
Qualifications, skills and abilities:
· Education: Employee should have completed technical school. Degree in Civil Engineering is an advantage
· Work Experience: Employee should have at least two years of experience in facility maintenance of office and residential buildings. Knowledge of electricity, plumbing, painting, masonry and carpentry.
· Experience: in purchasing goods, services and utilities payments.
· Language: Good Working Knowledge of Speaking/Reading English, Romanian and Russian is required.
· Must have local driver’s license, category B.
· Ability to work with little supervision and as part of the team.
· Basic computer skills are also required. Must be able to perform moderately heavy work
