Responsibilities

  • Provide secretarial and administrative support to the Secertariat thus it’s better able to meet its objectives.
  • Arrange appointments and maintain supervisor’s calendar.
  • Place and screen telephone calls and answer queries with discretion.
  • Arrange meetings, both internal and external, some involving high-ranking officials, and take minutes and/or notes at meetings.
  • Prepare informal translations and act as an interpreter.
  • Draft correspondence, documents and reports, some of which are highly confidential.
  • Receive, screen, log and route correspondence, attach necessary background information and maintain follow-up system.
  • Draft official correspondence, documents and reports on routine matters and/or for clearance by the supervisor and ensure follow-up.
  • Assist in the preparation of visit programmes, briefings on issues covered by the Secretariat collection of documentation for briefing kits; talking points and other material for missions, meetings and visits
  • Assist with the management of external and internal relationships
  • Perform other related duties as required.

Monitoring and Progress Controls:

  • Provides efficient, accurate, timely and high-quality service for administrative tasks, documents, minutes, and presentations
  • Preparation of professional and accurate documentation and correspondence that facilitates communication and allows for smooth implementation of projects
  • Manage priorities autonomously
  • Timely and clear communication, both oral and written, with all parties concerned that allow for smooth implementation of projects
  • Establishes good and discreet rapport with all colleagues, staff and within the office

Completion of secondary education. Training in any of the following is an asset:

Business Administration, Finance, Office Management, Human Resources or other

related fields.

Required Qualifications and Experience

  • An advanced university degree (master’s level or above) in law, political studies, public administration, business administration
  • At least 3 years of relevant professional experience
  • Working experience with a central public authority is preferred.
  • Working experience in EU legislation is preferred.
  • Good knowledge of the context of EU integration.
  • Good knowledge of computer skills.
  • Excellent analytical skills/expertise and experience in drafting normative acts.
  • Advanced level of English with a strong ability to speak and write reports is required.
