CRS in Moldova & Ukraine
CRS has operated in different capacities in Moldova since 2004 and in Ukraine since 2017. CRS works with local partners to implement an integrated, multisectoral program portfolio of humanitarian and development assistance. In Moldova, CRS is focused on meeting both the immediate and long-term needs of Ukrainian refugees, including cash, education and shelter programs. CRS is also working with governmental and non-governmental partners to end the placement of children in residential care institutions through the Changing the Way We Care initiative. In Ukraine, CRS’ works in partnership with Caritas Ukraine and Caritas Spes Ukraine, to deliver life-saving humanitarian assistance to Ukrainians affected by the war.
Job Summary
As a member of the CRS Moldova Operation team, you will provide service in the day-to-day delivery of responsive, effective and efficient administrative activities in support of the Catholic Relief Services’ (CRS) mission to serve the poor and vulnerable. You will provide consistent and high-quality service and contribute to the proper stewardship of resources to help ensure operational effectiveness in support of high-quality programming.
CRS is hiring for this position for 6 months.
Roles and Key Responsibilities:
- Provide administrative support to the country program.
- Assist with the filing, distribution, printing, and scanning of all incoming and outgoing mail/letters/documents, as well as manage IDs and business cards.
- Support the maintenance of a centralized CRS/Local office filing system.
- Help maintain and track taxi registers upon request.
- Assist program staff, upon request, on arranging airport pickups, hotel reservations, and meeting appointments.
- Maintenance of the vehicle booking system, upon request.
- Monitoring and maintaining of Vehicle Management Platform (VMS).
- Ensure timely payments of recurring office costs and lease expenses.
- Manage office supplies (stationary, water, paper) in accordance with CRS property management regulations.
- Assist program staff in organizing workshops, conferences, catering, and other public events through CRS suppliers, upon request.
- Conduct market research to identify new suppliers, upon request.
- Collaborate with Program Support Department staff members, Project Managers, Project Officers, and Partners as required.
- Other administrative tasks upon request.
Basic Qualifications
- High School Diploma required. Professional Diploma/Certificate or courses in Administration a plus.
- Experience with typing/word processing, data entry into online databases and forms, and working with various office equipment.
- Experience in MS Office package (Excel, Word, PowerPoint) and information management systems. Proficient in Word.
- Experience working in an office environment in a clerical or administrative role a plus.
- Experience with a local or international NGO a plus.
Required Languages – Spoken proficiency in English, Romanian and Russian required.
Travel – Occasional travel may be requested.
