Swedish Prison and Probation Service - Project Assistant (consulting services)

In cooperation with their Moldovan counterparts, the Swedish Prison and Probation Service have developed a project that aims to enhance the capacity of the Human Resource department in the Prison and Probation system in Moldova. The programme is funded by the Swedish International Development Cooperation Agency (Sida) through the Embassy of Sweden in Moldova. The project to run between 2024-2026 with a 6 months inception phase.

The project covers the following areas:

  • Enhance the recruitment system.
  • Enhance the training capacity.
  • Enhance the organisational culture.

The programme will be managed and coordinated by a Project Coordination Office (PCO) in Chisinau, consisting of a Swedish Project Leader and a Moldovan Project Coordinator.  

Assignment/Scope of work:

The assistant performs mainly administrative duties and interpretation services to support the Programme Coordination Office in the implementation of the project.

When performing its services in this assignment, the Supplier is based in Chisinau and the place of work is the Project Coordination Office, located in the facilities of the Moldovan Ministry of Justice in Chisinau.

Main tasks and responsibilities:

  • Interpretation and translation of documents (Romanian/English and English/Romanian).
  • Interpretation services during meetings, workshops, trainings, field visits and mentoring and advising activities
  • Assist in organising programme activities, such as trainings and seminars, including contacting participants, booking premises, compiling materials etc.
  • Distribute questionnaires, analyse and compile reports regarding participants’ views and opinions of completed activities.      
  • Assist in booking of meetings.
  • Assist in organising PCO meetings and Annual Review Meetings in the country.
  • Gathering monitoring data and compile follow-ups.
  • Draft minutes of meetings, workshops, field visits and advising activities.
  • Travel and accommodation arrangements.
  • Office administration (printers, phones, rent etc.)
  • Any other tasks that the Project Leader assigns to him/her.

Qualifications

Essential qualifications and experience

  • University degree (Bachelors degree) in relevant field
  • Experience of conducting translation services

Essential knowledge, skills and abilities

  • Ability to communicate very well orally and in written form.
  • Very good drafting and editing skills.
  • Ability to establish good relationship with stakeholders and the public.
  • Knowledge of information collection
  • Very good logistical and planning skills.

Desirable qualification and experience

  • Experience in penitentiary systems and/or rule of law sector.
  • Experience of working with international organisations/projects.

Desirable knowledge, skills and abilities

  • Understanding of project management.
