People in Need (PIN) is a Czech non-governmental organization that provides relief aid and development assistance while working to defend human rights and democratic freedom. It is one of the largest reliefs and development organizations in post-communist Europe and has administered projects in 37 countries over the past 30 years. From 2009 onwards, PIN has added development programs to its work in Moldova, building a vision and practices that keep people and communities at the canter of our work. Throughout its presence in the country, PIN has been contributing to the development of the following sectors: Sustainable Livelihood and Environment, Social Inclusion and Protection, and Good Governance.
Position Summary:
Under overall supervision of the Logistic Officer (LO), the Administrative/Logistics Assistant provides daily support to People in Need´s (PIN) Moldova country program operating in Chisinau. The Administrative/Logistics Assistant fulfils the role of logistic and administrative support to Operations department to ensure smooth daily operations.
Main responsibilities:
- To act as a front-desk focal point (welcoming visitors, keeping a visitor logbook, contacts the visited person upon the visitors´ arrivals);
- To support (and if needed to chain-up) the PIN´s communication with police, fire department, other public services, courier, postal and other administrative services;
- To provide translation support for meetings and external communication (if needed).
- To take notes and record each PIN staff meeting;
- To support the implementation of office arrangements, visitor handling rules, office marking, safe overnight parking and keys return of PIN vehicles;
- To archive of all logistics related docs in both hard copies the same as soft copies in ELO;
- To archive all PIN contracts in ELO repository folder, to process watchdog actions for all operation departments as well as such administrative support of PIN project teams;
- To support LO in keeping the inventory records of PIN´s assets;
- To support LO in creating Stock Cards (SC), Good Receive Notes (GRN), Good Delivery Notes (GDN) and Discrepancy Acts (DA) and their archiving in ELO;
- To monitor and collects inputs necessary for purchase of materials, consumables, and services needed for smooth operation of PIN´s premises and support their purchases and deliveries;
- To monitor the full operation of office and kitchen equipment, coordinates its servicing and maintenance;
- To organize and coordinate the activities to ensure order and cleanliness of all PIN's premises.
What we are looking for:
- Completion of Secondary Education or Bachelor’s degree in business administration, finance, or relevant fields;
- 2 years minimum of working experience;
- Previous experience from working in the humanitarian sector will be value added;
- Intermediate level of written and spoken English;
- Fluent in local languages in Moldova;
- Good working knowledge of MS Office and high computer literacy is required;
- Highly organized & attentive to small details;
- Ability to work under pressure and meet deadlines;
- Ability to organize and plan effectively;
- Excellent communication skills.
