LOGISTICS OFFICER

Oxfam is supporting local organizations in Moldova who are providing assistance to people fleeing Ukraine, and also to the communities that are hosting and supporting refugees on their journeys.

What we are looking for

Oxfam is looking for a Logistics Officer to provide administrative and logistical support to the Moldova team.

What we are looking for

  • At least two years of experience in administration and logistics in a similar organization.
  • Ability to implement office and finance systems (MS Office)
  • Knowledge on various administrative functions
  • Attention to details, ability to work under pressure and able to meet deadlines and to think and plan a head.
  • Ability to work with others and as part of a diverse team
  • Good communication skills - verbal and written in English.
  • Commitment to deliver against agreed deadlines.
  • Understanding of gender and diversity issues and commitment to promoting gender and diversity equity

Job Details:

Contract type - Fixed-term contract for 12 months

Grading and salary range – Grade D2 national; 229,184 to 327,406 MDL (gross salary, per annum, depending on skills and experience)

Location – Chisinau, Moldova

KEY RESPONSIBILITIES

  • To keep inventory records and update it on quarterly basis (recording and tag numbering).
  • Fleet management – ensure regular servicing, logbooks. Daily and weekly checks of vehicles in order to ensure that it is always in good travelling condition.
  • To ensure Health and Safety and driving regulations are maintained
  • To observe all local and Oxfam Travel regulations (Driving Guidelines) and to take full responsibility for ensuring that all passengers observe the rules and regulations relating to travel and vehicles. (e.g., use of safety belts, non-smoking policy, etc)
  • To undertake office purchases and supplies including management of fuel purchase, stationery supplies and office upkeep, etc
  • To provide support to the Line Manager with tenders, bidding processes and arrangements of workshops/conferences
  • To prepare consolidated monthly reports on fuel consumption and maintenance and submit it to the line manager
  • To give advice and provide support to partner organisations on any of the above areas of responsibilities
  • Assisting programme in organizing programme meetings and events
  • Assisting staff and visitors in flight, accommodation, visa arrangements

 

Experience, Knowledge & Competencies

  • Awareness of and demonstrated commitment to Oxfam's values, mission and work.
  • Good administrative and organisational skills, working to deadlines and at short notice
  • A good working knowledge of MS Office is needed, especially MS Excel
  • Experience using reporting tools to enable the interpretation and presentation of data to identify positive and negative trends.
  • Effective written and verbal communication skillsin English
  • Proven experience working in a similar role
  • Full, clean driving licence
  • Proven ability to manage resources and deadlines with minimum supervision
  • High level of initiative and Proactive in anticipating problems and promoting the function
  • Good communication and interpersonal skills, good team player and builder
  • Strong organizational and planning skills, detail oriented with ability to produce accurate work under tight deadlines
  • Ability to work and communicate effectively with others to ensure compliance with Oxfam policies and procedures
  • Ability to work effectively in a culturally diverse organization
  • Ability to learn/adapt to a fast-changing environment and numerous, conflicting job requirements
  • Desirable: Self-confident and mature individual who is able to communicate at all levels; Enthusiasm for good working practices; Ability to work effectively in a culturally diverse organization
