SELLECTION OF VENDORS OF CHILDREN CLOTHING SHOPS FOR PEOPLE IN NEED WINTERIZATION PROJECT

People in Need started implementation of a new Winterization project financed by ECHO.
Winterization support will be provided to refugee and vulnerable host communities through the following activities:
Distribution of winter clothes to 500 vulnerable refugee and host community children (6-17 years old)
The total budget of the project is 100 000.00 EURO. All the shops which correspond to the requirements listed below can take part in this project by submitting filled RFQ and required documents. There are 500 beneficiaries who we’re going to support during December 2023 – January 2024, each beneficiary will have possibility to choose and receive children winter clothes in the amount of 200.00 EURO per one beneficiary, value covered by PIN.
Requirements:
- Location: Vendor shops should be located in at least three of the following towns - Balti, Causeni, Anenii Noi, Stefan Voda, Comrat, Ceadir Lunga, Ocnita
- Diversity of sold items: include children’s clothes (6-17 y.o.) and all items of the basket (see below for basket details)
- Price of items:
- must fall within the average in the area (Will be checked by PIN)
- the total amount of the whole basket, based on the price list, shall fit to our budget per beneficiary - 200 EUR (equivalent in MDL)
- Capacity: number of clients that the vendor is able serve, capacity to resupply, capacity to offer basket products immediately and in large quantities
- Condition of the store and warehouse: maintenance and hygiene, goods management system, etc. (Will be checked by PIN)
- Validity of required Business License
- Willingness (and ability) to cooperate:
- Agree with the presence of facilitators during beneficiaries’ distribution days
- Agree to provide balance return after the end of the acquisition process
- Have one (or multiple) dedicated on-site cashier on the distribution days
- The internal system of Supplier shall allow the cashier and PIN facilitators to check the total amount of transaction per each beneficiary, before properly registration of sale in the system
- Agree to provide partial invoicing, per each group of beneficiaries or per calendar day (all transactions included)
- Ability (and willingness) to work with limited to no advance payment
- Discount in % from retail prices
Vendors, which correspond to the requirements listed above will be required to enter into a contract with PIN.

- Extras from the state registry or any other relevant certificates;
- Signed and stamped RFQ with filled in marked yellow fields;
- Eligibility Sworn Statement.
RFQ and Eligibility Sworn statement will be sent upon a request to the above mentioned email.

Questions could be answered only until 18:00, 15 December 2023. PIN does not guarantee that all questions will be answered.
