GIZ - Administrative Assistant

he German Development Cooperation (GIZ) is recruiting an Administrative Assistant to join the teams of the projects “Attractive and efficient Public Administration for Moldova” and “Regional project for Public Administration Reform in the Eastern Partnership”. These projects are financed by the German Government and the European Union.
This position is planned to start on 1 May 2026 and last until 31 December 2027 with the possibility of extension. The position is based in Chișinău.
The Administrative Assistant will provide services as part of the Multi-Donor Action ‘Public Finance and Tax Administration Reform for EU Accession in Moldova’ and the regional cooperation on PAR in the Eastern Partnership.
Key responsibilities include:
- Provide administrative support to project staff in the preparation and implementation of project activities.
- Manage contracting and procurement processes for external experts as well as goods and services in accordance with GIZ rules and regulations.
- Prepare and process contractual and procurement documentation and ensure proper filing and compliance.
- Organise and coordinate logistical arrangements for conferences, workshops, meetings and study visits, including travel and participant management.
- Liaise with relevant GIZ units (e.g. finance, procurement, HR) to ensure timely and compliant administrative processing.
- Maintain effective communication with service providers, partners and internal stakeholders.
- Ensure adherence to internal procedures and workplace-related health and safety requirements.
- Contribute to efficient knowledge management and information flow within the project team.
Required qualifications and experience:
- College Degree or (in)complete University Degree in Foreign Languages, Law, Economics or other;
- at least 1-2 years of professional experience in a comparable position;
- good working knowledge of IT technologies (computer, phone, mail, internet) and computer applications (MS Office package);
- very good written and oral knowledge of English and Romanian, knowledge of Russian would be an asset;
- politeness and helpfulness in dealing with visitors and work colleagues;
- willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management;
- Moldovan citizenship or holding permanent resident status in Moldova.
