Job Description

Background:

UN Women in Moldova is looking to hire a part-time Office Maintenance Assistant to provide effective of office maintenance/cleaning services for its premises of approximately 660 m2 including corridors, offices (50 working places), 3 (three) meeting rooms, a kitchen, an archive and a storage room. The Office Maintenance Assistant position is located at UN Women premises in Chisinau, Moldova. 

Reporting to the Operations Manager, the Office Maintenance Assistant works in close collaboration with the UN Women Programmes and Operations team staff to ensure consistent service delivery. 

Description of Responsibilities /Scope of Work

Under the guidance and direct supervision of the Operations Manager, the Office Maintenance Assistant will provide daily cleaning services in the UN Women Moldova Office during the afternoon hours, from 14:00 to 17:00, ensuring a welcoming and hygienic environment for visitors and staff, maintaining high standards of quality and accuracy. The Office Maintenance Assistant is expected to demonstrate a client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work effectively with individuals from diverse national and cultural backgrounds.

The selected candidate is responsible for ensuring the successful completion of the following tasks, including but not limited to: 

Kitchen/Break Room Maintenance:

  • Clean and sanitize countertops, sinks, and appliances in the kitchen.
  • Ensure coffee machines, kettles, and microwaves are cleaned regularly.
  • Empty and clean the refrigerator and dispose of expired items.
  • Clean all dishes, glasses, cups, and utensils used in the kitchen.
  • Restock kitchen supplies, such as coffee, tea, sugar, kitchen paper towels, detergents for the kitchen, garbage bags.
  • Collect and dispose of trash and recyclables appropriately.
  • Ensure proper segregation of waste according to recycling guidelines.
  • Monitor and replenish cleaning and kitchen supplies and report any shortages.

Conference Room Maintenance:

  • Prepare conference rooms for meetings by arranging chairs, setting up tables, and ensuring the room is clean and organized.
  • Provide jugs of water, glasses, napkins, and other necessary items for meetings.
  • Prepare and serve coffee, tea, or other refreshments for visitors when requested by the program and operations staff.
  • Clean and reset conference rooms after each meeting, including removing used items and wiping down surfaces.
  • Ensure the proper care and maintenance of plants in conference rooms and common areas, including regular watering and monitoring their condition.

Safety and Maintenance:

  • Report any maintenance issues, such as broken fixtures or leaks.
  • Ensure cleaning products are stored safely and used according to safety guidelines.
  • Respond promptly to urgent cleaning or hospitality requests.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Consultant’s Workplace and Official Travel

This is an office-based consultancy, with no travel required for this assignment.

Payment Details 

Payment will be disbursed monthly, per day worked, UN Women will pay the individual upon certification that the services have been satisfactorily performed and submission of a timesheet by individual. The number of days worked is to be determined solely by UN Women.

Required Qualifications

Education and Certification:

  • Completion of secondary education is required.

Experience:

  • Experience related will be an asset.
  • Experience in an international organization is a strong advantage.

Languages:

  • Fluency in Romanian and/or Russian is required.
  • Knowledge of English is an asset.
