Job Description:
JOB TITLE: Administrative Assistant & Translation Specialist
LOCATION: Chisinau, Moldova
MAJOR RESPONSIBILITIES
Administrative Assistance
- Support smooth operations of World Vision in Moldova
- Assist in preparing PRFs, agreements, contracts, reports, official letters etc. for Administration as needed;
- Arrange official documentation such as invitation letters for visas
- Provide administrative support to appointed supervisor and to P&C Officer, Supply Chain Officer and Finance Officer as needed.
- Provide support in hotel bookings and communicate to staff arriving;
- Assist in ensuring that the office is well-maintained, organized, and secure;
- Provide support for internal and external meetings for each department/unit;
- Work with finance departments/unit to process invoices, make payments, and track receipts;
- Support on boarding process and training schedules for new staff, helping P&C team in ensuring new employees and contractors have all the information and tools they need to be productive from their first day
- Coordinate, develop and maintain schedule of regularly spaced on boarding or training sessions delivered by existing WVI staff and liaise with new hires to ensure they are invited to appropriate sessions
- Coordinate schedules for training, performance evaluations, interviews, partner meetings, and any other requests from supervisor
- Identify opportunities for process improvements, communicate ideas to management, and actively participate in creating better processes
- Provide administrative support to appointed functional and geographic supervisors
- Ensure conference rooms and other meeting spaces are prepared prior to use
- Assist in managing office maintenance or supplies, as needed
- Perform other duties as assigned
Document Management
- Develop and implement logical electronic filing systems; re-organize existing electronic files into new file structures, ensuring appropriate access levels for confidential files
- Gather, enter, and/or update data to maintain electronic administration records and databases, as appropriate
- Establishing and maintain physical files and records for the office to ensure compliance with audit requirements
Written Translation
- Provide written translating services for English into Romanian or Russian, and from Romanian or Russian into English
- Translation may include materials such as but not limited to technical documents and publications, policy documents, legal documents, and marketing materials
- Check and edit to detect and correct errors
- Check and verify accuracy of draft translations
- Editing translations for publication
- Translations must be 'fit for purpose', meaning it is most suitable for its intended use
- Ensure all interpretation and translation work is clear and accurate
- Liaise with requester of services/ subject expert to clarify anything and ensure translation is done as per requester's expectations
Interpretation / Simultaneous Translation
- Provide simultaneous translating services for English into Romanian or Russian, and from Romanian or Russian into English
- Ensure reasonable and valid requests are acted upon in an efficient and timely manner, using best practice procedures
- Strive to attain the highest levels of excellence in the delivery of services
- Ensure all interpretation and translation work is clear and accurate
KNOWLEDGE, SKILLS AND ABILITIES
Required Professional Experience
- Good written and oral communication skills; strong communication skills to interact with all levels of staff and management
- Excellent organizational skills
- Advanced user of MS Office, SharePoint, and MS Teams, or enthusiasm and willingness to learn
- Ability to work under pressure and prioritize
Required Education
Advanced degree in Public Administration, International Relations or other Social Sciences, Foreign languages or related fields, including advanced studies in English (or fluency attained through experience)
Preferred Knowledge and Qualifications
- Knowledge of administrative and logistical needs in an office
- Knowledge of aspects related to international travelling such as visa requirements (documents, procedures), travel arrangements (accommodation, trips, logistics)
- Good ability to communicate in a professional manner with relevant local authorities
- Fluency in English, Romanian and Russian
- Strong organisational skills including attention to detail and multi-tasking skills
- Strong interpersonal, analytical and problem-solving skills
- Brilliant communicator (written & verbal) in-person and virtually
- Strong IT technical proficiency especially of Microsoft Office
Language Requirements
Fluent in English, Romanian, and Russian
Travel required: 10% of the time
