MISSION

The Logistics Assistant – Operational supports the Logistics Manager in implementing and supervising all operational logistical activities at his/her assigned base.

Starting date:         ASAP

Duration:                3 months, renewable

Duty Station:          Chisinau 

POSITION

1. Management of vehicle fleet

• Draw up the vehicle schedule and after validation by the Logistics Manager link with the vehicle rental supplier
• Ensure that a complete breakdown kit is available on board all vehicles
• Check that vehicle logbooks are in place and are used correctly
• Prepare the monthly vehicle report for the Logistics Manager validation
• Monitor the service contract quality and report any discrepancies to his/her manager

2. Management of equipment/telecommunications

• Assist in installing and securing materials
• Assist in monitoring and maintaining materials
• Organize training sessions in the use of means of communication

3. Management and monitoring of IT equipment

• Update antivirus software
• Provide teams with adequate means for data backup
• Ensure the maintenance and correct use of IT equipment

4. Premises management:

• Centralize all premises issues and participate in the troubleshooting (ex: research of premises, handling move in and outs, paying rents, rehabilitations, etc.)
• Ensure regular maintenance of Solidarités installations/equipment/facilities
• Check that enough necessary consumables and materials are always in stock for routine repairs, and ensure their management; transmit orders for stock replenishment timely
• During execution of work, ensure the safety and security of the premises (or immediate surroundings).

5. Reporting/communication:

• Support the Logistics Manager in the preparation of the monthly logistics reports his/her base
• Support the Logistics Manager in relations with third parties
• Apply Solidarités International procedures and archiving system for the scope of his/her job
• Take part in meetings relating to logistics aspects

PROFILE OF THE CANDIDATE / REQUIREMENTS

• Previous experience with NGO/INGOs valued.
• Previous experience in logistics required.
• Availability to work full time (estimated 8 am to 6 pm) for a minimum of 2 months required.
• Language: Romanian and English required. Ukrainian and Russian are a plus.
