Terms of Reference for Venue Selection for Event on April 11th, 2024

Background:

The Friedrich Ebert Foundation and IPRE, in cooperation with the Bureau for Reintegration Policies, is organising the Reintegration Forum, an event which aims to contribute to a national-driven governmental strategy vision for the reintegration process. The first edition of the Reintegration Forum will focus on the economic component of the reintegration process.

The Forum is planned to be held on the 11th of April, 2024, in Chisinau, Republic of Moldova. In this context, the Friedrich Ebert Foundation (FES) is searching for a venue that will meet the following requirements:

  • 1 venue with the capacity to accommodate 100 participants from 8:30 to 14:00;
  • 1 venue with the capacity to accommodate 50 participants in a round table format from 14:00 to 17:30;
  • Central location and walking distance to hotels situated in the central part of Chisinau;
  • Simultaneous translation equipment for the first part of the event (sound equipment, cabins for 2 translators, microphones, and 50 units of headphones);
  • 1 stage and 6 armchairs for the first part of the event;
  • Catering services that will cover 1 coffee break and 1 lunch for 100 guests in the first part of the event;
  • High-quality audio-visual equipment for venues in the first and second part of the event;
  • 25 table microphones, sound equipment, and other complementary equipment for the venue of second part of the event;
  • Catering services that will cover 1 coffee break for 50 guests in the second part of the event;
  • Adequate restroom facilities, including accessibility features for disabled participants;
  • Adequate parking facilities and proximity to public transportation.

Evaluation Criteria:

The proposals will be evaluated based on the following criteria:

  • Venue's location in the central part of Chisinau, in the proximity of hotels, walking distance from the hotel to the conference room.
  • Overall cost-effectiveness.

The proposals shall be submitted by 16th of February 2024 at fes.moldova@fes.de .
