Terms of Reference: Events Manager (Full time)

     

Rationale

The expert will be responsible for the full event management of all kinds of public events organized by the project in Chisinau and outside Chisinau to generate visibility for EU funded projects and to support the EU Delegation in implementing its communication and information strategy in the context of  reforms to be implemented under AA/DCFTA. The Events Manager reports to the KE1/TL and KE2.

Job Description

Task 1.2.4 Event management

·        The expert will be responsible for the organization of small and large scale public events in Chisinau and outside Chisinau to generate visibility for EU funded projects and to support the EU Delegation in implementing its communication and information strategy in the context of the EU new candidacy role of the Republic of Moldova             

·        The expert will be responsible for the development of the event concepts and event flows, event related materials  (save the date, invitation, agenda, others), participant lists, management of logistics, catering, technical equipment, interpretation, video and photo services, event reports, archiving and maintaining a database of events photos, videos and participants’ lists;

·        The expert will be will work with the KE1/Team Leader and the KE2 on the organization of regional visits of the EU Delegation as per the EUDEL requests; this will involve but will not be limited to – coordination with other EU relevant projects, management of necessary services (photo, interpretation, video, catering, technical equipment, etc.), implementation reporting and archiving as required by KE1/TL and KE2;

·        The expert will liaise with relevant partners for the organization of events, here including but not limited to EU-funded projects, Young European Ambassadors, local administration, EU MS Embassies, academia, etc.;

·        The expert will be responsible for developing project documents for the selection of service providers in relation to event organization including technical equipment, technical support, translation/interpretation services, translation equipment, logistics, catering, other related services; he/she will be responsible for budget estimates and approval with support of the Financial Manager, KE2 and the Team Leader;

·        The expert will collaborate with the relevant NKEs in the team to ensure events’ visibility and promotion of the events on the online communication and social media platforms run by the project;

·        The expert will participate in the elaboration and execution of multi-target communication strategies/plans/activities, opportunities and co-branding approaches to reflect EU assistance to the Republic of Moldova;

·        The expert will undertake other duties consistent with this role that may be assigned by the Team Leader and by KE2 in relation to event preparation and organisation.

Task 1.2.5 Provision of video and photographic services for the EU related events

·        With the support of KEs and assistance of other relevant NKEs, the expert will participate in the coordination of the video services for the EU related events or within campaigns run by the project;

·        The expert will be responsible with archiving and maintaining a database of events photos, videos and participants’ lists as required by KE1/TL and KE2;

Requirements

General Professional Experience & Qualifications

·        University degree awarded in a field relevant for the tasks to be performed;

·        At least two (2) years of working experience in his/her area of expertise;

·        Excellent English, both written and spoken;

·        Very good knowledge of Romanian and Russian.

 

Specific Professional Experience

·        Experience in designing and full organization of large scale events including all event management components;

·       Experience in planning and budgeting communication activities and events;

·       Experience in liaising and establishing partnerships with various stakeholders and counterparts;

·        Experience in writing reports;

·       Experience in communication activities in EU-funded projects and / or in international organizations
