Project Coordinator at Safeguard Global

We are looking for a Project Coordinator to manage projects - to hire new employees, to gather information for the monthly payroll,  to check the received monthly input data from the workers and clients/partners, to update the data in the payroll sheets, to request/check and send the monthly reports to the clients/partners, to request/check the monthly payslips for the workers.

To succeed in this role, you should have excellent time management and communication skills, as it requires collaboration with clients and internal team members to deliver results on deadlines. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time and meet high quality standards.

Key responsibilities:

  • To communicate efficiently and timely with client and employee on employment related queries.
  • To organise and manage communication with the employees.
  • To gather all the necessary information and in a timely manner from the clients and from employees in order to accomplish the hiring of the new worker.
  • To create the employment contract for the new employees.
  • To export the hiring information to the local Chief Payroll Accountant in order to register the employee with the labour authorities.
  • To create and maintain user profiles for the new employees in Global.
  • To upload the documents related to the employee on their account on Global;
  • To receive, to confirm, and to maintain leave, sickness, and overtime reports. To manage the employee’s data on Global and to constantly update the information on it.
  • To guide the employees and clients on the use of Global (recording of time and attendance, submitting expenses, etc.)
  • To help employees to create expenses reports and to check if the submitted receipts and invoices follow the legislative regulation and the Company policy regarding the expenses reimbursement.
  • To create legal confirmation documents regarding any amendments or addendums to the employment agreements of the employees;
  • To confirm and update the data in the payroll sheet regarding any payments, adjustments and corrections needed for the monthly payrolls;
  • To act as a brand ambassador and good steward to the organisation.

Mandatory skills required:

  • Fluent in verbal and written English. Other language is an asset;
  • Excellent communication skills;
  • Team-player;
  • Previous experience in project coordination/management would be a plus.
