Terms of Reference for the selection of a logistics company for the provision of technical and branding equipment and services

1. Background

The Friedrich-Ebert-Stiftung (FES) Moldova will organize two public events in Chișinău:

  • MACRO 2025 Conference – 28 November 2025
  • Moldovan European Integration Forum 2025 – 5 December 2025

Each event will bring together around 100–120 participants, including representatives of public authorities, academia, civil society, and international partners.

2. Objective

The purpose of this ToR is to select a logistics company capable of providing complete audio-video, lighting, interpretation, and branding services for both events, in accordance with the detailed technical requirements listed below.

3. Required Equipment and Services

Event 1 – MACRO 2025 (28 November)

  • Video mixed services (3 cameras, live mixing, branding integration, live streaming setup);
  • LED screen 6×3 m (with media server, mounting/dismounting, transport);
  • Sound system (speakers, 5 wireless microphones, 1 lectern mic, amplifier, tech assistant);
  • Interpretation equipment for 100 persons (1 booth, 2 channels, headsets, transmitters);
  • LCD TV screen 65” for stage viewing;
  • Lighting system (6 moving heads, directing station, lighting engineer);
  • Photowall (500×300 cm, printing, carcass rental, mounting/dismounting);
  • Promotional items: pens, A4 folders with logo, A5 notebooks with logo;
  • Animated visual cover (loop display, up to 10 seconds);
  • Logistic support and event management fee.

Event 2 – Moldovan European Integration Forum (5 December)

  • Video mixed services (3 cameras, live mixing, branding integration, live streaming setup);
  • LED screen 6×3 m (with media server, mounting/dismounting, transport);
  • Interpretation equipment for 120 persons (1 booth, 2 channels, headsets, transmitters);
  • LCD TV screen 65” for stage viewing;
  • Lighting system (6 moving heads, directing station, lighting engineer);
  • Photowall (500×300 cm, printing, carcass rental, mounting/dismounting);
  • Promotional items: pens, A4 folders with logo, A5 notebooks with logo;
  • Animated visual cover (loop display, up to 10 seconds);
  • Logistic support and event management fee.

4. Submission Requirements

Interested companies are invited to submit by 3 November 2025 the following documents to fes.moldova@fes.de:

  • Two individual financial offers (with individual prices per service and total cost per event);
  • Two short descriptions of the services and equipment to be provided.
