
GIZ is looking for an Administrative Assistant for its Service Unit within the Country Office in the Republic of Moldova.
This position is planned to start in June 2026 and will run until 31 December 2026.
The permanent workplace of the Administrative Assistant will be located at the premises of the Service Unit in Chisinau.
The Administrative Assistant supports the Administration and Logistics Team in the implementation of administrative, logistical, operational, and fleet-related activities across the Service Unit, Country Office, and projects. The position contributes to the smooth coordination of transport, office administration, inventory, procurement support, and event logistics in compliance with GIZ rules, procedures, and operational requirements.
The Administrative Assistant ensures service-oriented support, timely implementation of assigned tasks, and constructive cooperation with colleagues, service providers, and relevant stakeholders.
The main activities related to this position are as follows:
- Administrative and Operational Support
- Support the Administration and Logistics Team in the implementation of administrative and operational processes across the Service Unit and projects.
- Perform organizational, clerical, and administrative tasks accurately and on time in coordination with the line manager and relevant colleagues.
- Assist with general office administration, document handling, filing, photocopying, scanning, and correspondence delivery.
- Support administrative, logistics, procurement, and inventory-related processes in line with GIZ rules and procedures.
- Provide operational and back-up support to the administration and logistics team as required.
- Fleet and Transport Support
- Ensure safe, responsible, and timely transportation of staff, partners, guests, and materials using GIZ vehicles.
- Support the coordination and handling of the GIZ carpool and related transport arrangements.
- Maintain vehicle logbooks, fuel consumption records, and other required transport documentation.
- Perform routine vehicle maintenance checks and ensure vehicles remain clean, roadworthy, and in good technical condition.
- Systematically collect and share relevant information related to routes, road conditions, transport arrangements, and vehicle coordination.
- Cooperate and maintain regular communication with colleagues across projects and the Country Office to support effective fleet coordination and exchange of operational information.
- Logistics, Procurement, and Inventory Support
- Support procurement and inventory-related activities, including collection, transportation, storage, and distribution of goods and office materials.
- Handle official errands and operational deliveries, including collection and submission of documents, support with customs-related processes, and coordination with suppliers or authorities when required.
- Contribute to maintaining organized storage areas and efficient handling of office resources and materials.
Required qualifications
- Completed secondary education; vocational training in administration, logistics, transport, or a related field is considered an asset.
- At least 5 years of professional experience as a driver, preferably within an international organization, development cooperation project, or NGO environment.
- Previous experience in administrative and operational support functions is a strong advantage.
Other Competences
- Valid driving license (category B; driving category C is an advantage).
- Excellent knowledge of local traffic regulations, routes, and road conditions.
- Strong sense of responsibility, reliability, and punctuality.
- Basic computer skills, including practical knowledge of MS Office applications (Word, Teams, Excel, Outlook).
- Good communication and interpersonal skills with a service-oriented and cooperative attitude.
- Good working knowledge of Romanian and Russian languages; basic knowledge of English is an asset.
- Ability to work independently, organize assigned tasks efficiently, and maintain confidentiality.
- Ability to work under pressure and adapt flexibly to operational requirements and changing priorities.
- Moldovan citizenship or holding permanent resident status in Moldova.
