Background information

In 2017, USAID awarded Internews the project “Media Enabling Democracy, Inclusion and Accountability in Moldova” (MEDIA-M), which aims to promote the development of an independent, professional media, and to create a media sector that is more resilient to political and financial pressures. As part of its activities under this project, Media-M aims to improve the capacity of the Moldovan media CSOs.

Summary of the Position

The Office Manager will be under the direct supervision of the Financial Manager, responsible for ensuring effective office management throughout the entire lifecycle of the MEDIA-M project, will be in charge of the administrative activities to facilitate the smooth running of the office administration processes in compliance with USAID and Internews rules and regulations.

Main tasks include, but are not limited to:

  • Preparing and organizing the office operations including procurement;
  • Preparing documents and information materials as required by supervisor;
  • Drafting and maintaining office supplies budget;
  • Providing the office with stationary and other necessary supplies;
  • Keeping record of office supplies and making necessary payments;
  • Overseeing proper conditions for office equipment usage;
  • Arranging meetings, invitations, registrations and other activities for visitors, guests, delegations and partners of Internews;
  • Arranging and managing documents and business correspondence (registration and processing of incoming and outgoing correspondence);
  • Facilitating communications and information flow between the Moldovan, EU and DC offices, as well as help manage the communications and networking with other donors, subcontractors, client and stakeholders as needed.

Required Qualifications:

Professional Qualifications

  • At least two years of work experience in similar position (preferably in international organizations or NGOs);
  • Bachelor’s degree or its international equivalent;
  • Experience working with USAID-funded programs, preferred;
  • Experience in document management and organization of office operations;
  • Proven experience in bookkeeping and strong understanding of the procurement procedures;
  • Very good knowledge of PC Office applications (Word, Excel, Outlook);
  • Experience in coordinating of travel arrangements and logistical support to consultants, staff, and project partners;
  • Business correspondence and report writing skills;
  • Basic knowledge of Moldova’s Labor Code, job safety rules, industrial hygiene and fire security.
