Background information

Internews in Moldova will contract a Program Assistant, in line with Internews’ Core Values and USAID rules and regulations, as well as other donors’ requirements.

Internews in Moldova is managing the Media Enabling Democracy, Inclusion and Accountability in Moldova (MEDIA-M) project. It is a five-year project implemented by Internews and funded by the United States Agency for International Development (USAID). The project aims to promote the development of an independent, professional media that gives citizens access to a variety of perspectives, and to create a media sector that is more resilient to political and financial pressures. Additionally, Internews in Moldova is finalizing a Swedish funded project “Supporting Independent Media in Moldova.”

 

Main Duties and Responsibilities

The Program Assistant works in close collaboration program management team and under direct supervision of the Deputy Chief of Party (DCOP).

The Program Assistant ensures effective achievement of results, anticipating and contributing to resolving complex project related issues, information delivery, following-up on deadlines. The assistant should:

  • Pro-actively contribute to day-to-day project implementation and ensure conformity to expected results, deadlines and project workplans;
  • Assist DCOP in all programmatic matters and, as needed, administrative issues, such as logistics support of program activities both in Chisinau and throughout Moldova (ad-hoc translation, venues, accommodation, in-country and international travels, meals, translations, booking of space, etc.), including local and international consultants and experts;
  • Maintain communication with local partners, program beneficiaries, and cooperating organizations;
  • Attend and keep the records of proposed and confirmed program meetings, maintain relevant correspondence, prepare agendas, take notes and distribute them to program team members;
  • Prepare correspondence on behalf of program management and follow-up when required;
  • Prepare and maintain records and all necessary documentation for program consultants (local and/ or international), and their respective status (contracts, SOW, TORs, PSC, time and attendance, if appropriate) in accordance with donors’ rules and regulations;
  • Compile content and distribute on Internews in Moldova web page and on social media platforms;
  • Participate in organization and preparation of public events and senior staff/program meetings;
  • Work closely with the country office to ensure that Internews, USAID, other donors’ and local rules and regulations are followed;
  • Maintain projects’ calendars and schedules;
  • Provide backup support during absence of the office manager;
  • Provide general administrative and organizational assistance.

 

Required Qualifications:

  • University degree in media related fields, including communication, administration, economics, law, social sciences or other related fields;
  • At least 3 years of progressive experience in providing program and organizational support is an asset;
  • Previous experience in development assistance or related work for a donor organization, consulting company, media outlet or NGO is a strong advantage;
  • Experience of collaboration with the media/ journalists;
  • Advanced knowledge of relevant computer applications (Excel, Word, etc.);
  • Content writing skills and experience distributing it on web pages and social media;
  • Attention to detail and excellent organizational skills;
  • Accuracy in writing and developing documents;
  • Professional working proficiency in English and Romanian and proficiency in Russian are required;
  • Ability to work as part of a team in a fast paced environment while meeting deadlines;
  • Openness to interact with people of different nationalities, religions and cultural backgrounds;
  • Strong communication and interpersonal skills.
